Introduction
Many boards use board meeting evaluation forms at the end of each meeting.
How are Board Meeting Evaluation Forms Used
Some boards require one person to fill in a form and share the comments at the beginning of the next meeting.
Other boards ask each board member to fill in a form and all of the contents are made public, particularly where board meetings are considered open meetings.
Cautions When Using Board Meeting Evaluation Forms
When these evaluation forms are used they must be used with definite parameters which prevent undue harm to any person on the board. For example, board members should not be able to make disparaging remarks about other board members anonymously and have their comments published for the public to view.
It is difficult to promote transparency, accountability and harmony if a board adopts practices which violate its own Code of Ethics and Standards of Behaviour.
Take Guidance From Board Governance Policies
Excellence in governance requires that all practices be guided by governance policy. The board chair would ensure that all board members follow the policies, and that open communication is practiced at all time.
Where resolution is not possible with the parameters set in governance policy, alternate dispute resolution process or an accepted problem solving process would be used by a trusted third party.
